Getting the Best out of Funding Fairs – 5 Tips There are Funding Fairs in Sheffield and Rotherham this month, and our SYFAB Development Team will soon be back to full strength with new workers in Barnsley and Doncaster, and Ian Paisley back in action in Rotherham. So over the next few months, you will be invited to come along to lots of funding fairs, meet the funder events and other networking events and meetings. But you’re all busy people, and you only have a limited amount of time to go to events like this. Here are our top tips for getting the best out of funding events: - Planning. Find out details about the event before the day. What is the purpose of the event? What do you want to get out of it? You can save a lot of time at an event by doing a little bit of research beforehand. For example, there will be lots of funders at our Funding Fair in Sheffield this month – you can get the list at www.sheffield.gov.uk/fundingforum. Some might be able to fund your organisation, and some won’t. Having a rough idea of who will be there and what sort of work they fund will help you decide who you should talk to. - What do you do? Whether you are talking to a funder, someone from a support organisation, or someone from another group, the question you are most likely to be asked is: what do you do? The ability to give a short and clear description of your organisation and your work is a really useful skill. Assume that the person you’re speaking to knows nothing about your organisation, and avoid jargon. You could write and practice a 30 second description of yourself and your organisation. At funding fairs, this will help you explain your work to a funder so you’ll quickly be able to find out whether they can fund your group. - Practicalities. Check you have the right date and time for the event. Do you know where the venue is and how to get there? Make sure you have pens and paper, a bag or folder to carry all the leaflets you’ll pick up, and some business cards or something else with your contact details on to give to people you meet at the event. - Networking. One of the most useful things about going to events is the opportunity to meet other people in your area of work, and share information and experiences. But it isn’t always easy to strike up conversations with strangers over coffee. You can make it easier with a bit of forward planning. Think of a few issues that your group is currently facing. Who is likely to be at the event that may provide some useful information that can help you? This will give you a plan for who you want to talk to, and give you a subject to ask about. Lots of people find networking difficult so you’re not alone. And it gets easier with practice! - And last but not least, get the free stuff! Walk round a funding fair and you’ll see lots of funders with lots of stalls giving away things like pens, post-it notes, sweets and mugs. You should probably have a look at the information on the stall as well! In next month's Funding News, we'll report back from the Sheffield and Rotherham Funding Fairs, with updates from the funders that attend. Short outline of the scheme Pride in Your Community is a grant aid initiative from Barnsley Building Society offering small grants of £250 to £500 for groups who can demonstrate that they provide some level of benefit to their community. The Society’s operating area covers Yorkshire and North Derbyshire, so the scheme targets funding to communities in these areas. Groups who apply should be non-political, not run for profit and not a registered charity, although the scheme will consider local charities, or local outlets of charities. The scheme does not support national charities, since the Society’s branch network holds events throughout the year that raise considerable funding for some of the national charities. The application form is simple - just one A4 sheet with a number of questions requiring straightforward answers. Applicants should provide as much information as is felt necessary to give the panel, which is independent of the Society, enough information to decide whether your group meets the basic criteria for funding. Groups can apply for assistance more than once whether they are successful or not. Who are the awards open to, and are there any priorities? If your local group provides a service that is used by the community and you are not politically based and run not for profit for anyone other than the group itself, then you can apply for a grant. The Society has a maximum amount it can offer per year, so not everyone is guaranteed to get a grant and when requests are high, each application will be judged on its own merits and then against the applications brought forward at that point during the year. The panel has the ability to accept any application they deem fit for funding, but this excludes funding for individuals, as the scheme is concerned with ‘community’ growth anddevelopment. They are also less inclined to fund ‘one-off’ events as they feel that the whole point of the grant scheme is that it should assist in a group’s development for the future. Awards are available to any community group requiring funding and there are no specific priorities. Are there any common mistakes when groups are applying? The greatest mistake tends to be the cardinal sin of not providing the panel with enough relevant information. We try to keep the application process as simple as possible and don’t require reams of paperwork or evidence, but each project needs to be clearly outlined for the panel to understand. Please remember that in the majority of cases the panel are judging all applications in isolation. In the past groups have applied to Pride In Your Community for a grant where their project has required many thousands of pounds. The best advice here is to break that big picture down. Simply tell us how you would best use the grant available from the Society and what it might assist with. For example, with a project where the funding required might be for, say, £20,000, tell us how far £500 would get you and what it would pay for. Estimates are always a great help as they show a level of commitment to the project as well as financial management. What amount can groups apply for? Grants are usually for amounts between £250 and £500. However, if there are a large number of applications from a specific field where all are judged to have merit, an amount might be decided on for the group of applications as a whole and then that amount may be divided between the applicants. This decision is not made until the meeting. How many applications do you receive? Our grant panel meet twice per year, in spring and autumn. The number of applications varies each time, but it does tend to be between 20 and 30 groups on average, each half year. Not all are successful, but all are assessed during that meeting, whether suitable or not. All will receive a personal letter from the Scheme Co-ordinator on behalf of the judging panel. Examples of successful applications The scheme has been running for nine years and it is estimated that over 250 groups have received funding during that period. The type of application has been vastly different over the years, from refurbishment plans, through to equipment requirements. A variety of different groups have applied from all areas including sports, the elderly, groups focusing on health issues, mothers and toddlers groups, schools, arts and music, pre and after school clubs, to name but a few. The simple rule of thumb is that if your group’s existence has a positive benefit on your community, then you are past the first hurdle. The next hurdle is to satisfy the panel that the grant funding will be used responsibly for the betterment of the group and the community and perhaps that you are also looking elsewhere for funding or are raising funds through your own efforts. The key phrase that makes a successful application is that the applicants should be committed to ensuring that their project succeeds through hard work and determination. Last autumn’s winners included a family history group, community centres, a brass band, ladies choir, girls rugby league, a cricket club, schools, an elderly get together club, a local hospice and community action groups. How do groups apply? To apply for a scheme award, groups should first get an application pack. You can obtain one by calling in to a Society branch, by writing to the Society’s Head Office at the address below, telephoning on 01226 733 999, or filling in an enquiry form on the ‘contact us’ page of the Society’s website. Is there anything else you want to tell us about the scheme? This largely covers it, as we set out to make this scheme as simple as possible, having had feedback from groups about the issues they had to handle to get funding from other areas. All that’s left is to say is Good Luck, and we look forward to welcoming some grant winners at one of our Pride In Your Community award receptions, to collect your cheque! You will still be able to ask the Information Team to do a funding search for you. But you will also have the option of doing your own funding searches and using SYFAB’s resources to find and research possible funders for your work. This project combines what we learnt through developing and delivering SIFT (our funding information toolkit) with our ongoing experience of delivering the funding information service. While we develop the new resources, funding searches will continue to be available as normal. However, SIFT will no longer be available as Danny will be concentrating on developing the new resources. We will give regular updates on progress in Funding News and through the IT Project email list. To join this list, please email Danny.
